What we collect

From the enquiry form: name, email, the review you selected, facility type, preferred start week, and your message. From email or phone: whatever you choose to send. From the site: technical logs our host may keep (IP address, browser type, pages requested) for security and fault-finding. If you accept analytics cookies, we may also record approximate page counts as described on the cookies page.

We do not ask the public form for IC numbers, medical history, or payment card numbers. During a paid review we may see health information on a live screen; we do not take that information away in identifiable form. Our notes describe patterns without naming patients.

Why we use it

To reply to enquiries, prepare estimates, deliver reviews, invoice, and meet legal duties in Malaysia (including tax and the Personal Data Protection Act 2010). Legitimate interests include securing the website and defending legal claims. Where consent is required (optional analytics cookies), we ask first.

Retention

Unsuccessful enquiries are kept up to 18 months unless you ask us to delete them sooner. Contracts, invoices, and findings packs are kept for seven years for accounting and dispute purposes unless a longer legal duty applies. Host logs follow the host’s rotation, typically under 90 days.

Your rights

Subject to Malaysian law, you may request access, correction, or, where applicable, limited use or deletion of personal data we hold. Write to hello@filestudiobase.click. You may complain to the Personal Data Protection Department of Malaysia.

Sharing

We share data with our email and hosting providers as processors, with accountants or lawyers when required, and with authorities when the law requires it. We do not sell contact lists.

International transfers

Our host or email provider may store copies outside Malaysia. Where we use such providers, we take steps appropriate under Malaysian PDPA, including contractual clauses with the processor. Findings packs are sent to the client’s nominated address; if that mailbox is outside Malaysia, the transfer is at your request.

Children

The site is aimed at clinic and hospital professionals. We do not knowingly collect data from children through the enquiry form.

Changes

We will update this notice on this page when our practices change in a material way.
